Important!
The information contained in this section assumes you are familiar with the basics of navigating your Merlin system, adding and amending records, etc., as described in the Basics section of this manual.

Admin

The Admin office tab in the Control Centre contains some very important functions:

Sales Orders & Jobs

This is where you enter your Sales (Customer) Orders, and Authorise them to create active jobs for production.  Sales Orders which have not been Authorised here will not be visible nor taken account of elsewhere in Merlin MRP Factory, and are therefore not active jobs.

Set Parameters

This also an important area, especially when you first use Merlin MRP Factory.  Here you set your Company Details, the Currency Symbol and Date Format for your country, the Import Path for your data from Merlin MRP 2000 if you previously used this software, the path to Merlin data on the server if you are installing MRP Factory WorkStation, and the cut-off date which defines the term "Old" when using the 4 command buttons in the Maintenance panel to delete old records.

Import Merlin MRP 2000

This enables you to import and convert your MRP 2000 data, if you have previously used this software.

Data Update

The Data Update button should not be used unless you are directed to do so when applying a program update, in which case you must have followed all of the directions carefully, including backing up your data.  Do not use this button without understanding that it will overwrite all your data with the archive created the last time you said Yes to Data Validation when closing the Merlin program.  Never use it without first making a backup of your data!

This archive should not be used as a data backup for day to day purposes.  If a file becomes corrupted, the Data Update will not work.  Data Update replaces the data in the current set of tables with that from the archive.  It does not replace the tables themselves.

Manage Users

Manage Users is where you set up user names and passwords, and set the level of access granted to each user.  Four levels are available.  Administrators have unrestricted use of the system.  Managers have similar rights, except that they cannot access Administrator specific features such as Manage Users and Program Updates (see below).

Users can access all areas except the Admin tab, can run processes and edit existing records, but cannot create new records.  Viewers have lookup rights only.

Merlin Update

The Merlin Update button enables you to check for program updates for the Merlin software, and download them to your computer.  Clicking this button will bring up the 
Merlin Program Update screen.  Clicking the Check Now button on this screen will run a check on our website for a newer release of the software, and you will be advised if one is found.  If so, you will be given the option (by clicking a button) to visit the Merlin Updates Centre in your browser, where you can read the release notes, installation instructions, and download the setup program(s).

Save the setup file to a known location on your computer (such as you desktop) that is not within the Merlin directory setup.  You must quit the Merlin program before you run the setup program(s) to install your Program Update.

Please note, the operation of this feature may depend upon the necessary permissions and user rights being set up on your system.  You may need to establish your Internet connection prior to running this function, and where appropriate, remember to close it when you are done.

Delete Old Records

The Delete Old Records buttons in the Maintenance panel enable you to remove records (Purchase Orders, Stock movements, etc., depending upon the button you select) which have timed out according to the date you have entered in Set Parameters (above) to define "old" records.
