Name & Address |
Every material item on your Resources
file needs at least one Supplier selected. Every The apparently humble Business Contact Record Card is, in fact, a tool of great power:
The Name & Address tab contains the eponymous details for your contact. The Customer box should be checked if appropriate. Where matters relating to Customers are processed (Sales Orders, etc.), only contacts ticked in this way will be processed. However, customers will be flagged as suppliers too, because very often (particularly in contract manufacturing) they can be both. The Delivery Schedules Accepted? check box applies to Suppliers, and should be ticked if appropriate to allow all materials for which this supplier is selected to show a similar check box on their Resource Record Cards, which will allow you to individually enable (or not) schedules for these items. If you tick the STOP Purchases? check box, no items from this supplier will be purchased, although they will be shown on the Proposed Purchase Listings, flagged as Stopped. |

Contact Details |
On this tab you can enter comprehensive Contact information for up to three people, plus your Credit limit, settlement Terms and Remarks. |

Notes and Message |
The Notes tab allows you to enter any amount of information about the selected supplier. This remains private to your system. The Message tab, conversely, is for information or a message that you would like to be printed on Purchase Orders to this Supplier:
The One-Time only Message? check box controls how this message is processed, and works as you might expect. If ticked, the message will be printed on the next Purchase Order raised for this supplier, then it will be deleted. If not ticked, the message will persist until manually deleted or edited, and printed on every Purchase Order raised for this supplier. |

Materials |
The Materials Tab lists all of the Resources File items which show this contact as one of the three suppliers for these materials, so you can see at a glance everything you can buy from the selected supplier. The word DEFAULT in the Default Column indicates that this is the Default Supplier for the line item, otherwise the Supplier Code for the Default Supplier is shown. |

POs and SOs |
The POs tab lists all outstanding Purchase Order items for this contact, with original order quantity, the balance due and due date all shown. Similarly, the SOs tab lists the Sales Orders or Works Orders (if HOUSE) for this contact. |

Stopped |
The Stopped Tab lists all the suppliers whose Stop Purchases? box is checked. |

Preset filter buttons enable you to display Suppliers Only, or Customers Only. The Filter by Name button allows you to enter a name or part of a name to reduce the display to matching entries. This is useful if you do not know a Supplier Code, though hopefully you might use a meaningful alphanumeric arrangement for these ID codes. The Show All button, of course, restores the full listing. |
