Stock Take or Adjust

Stock Take Options

When you click the Stock Take or Adjust button you will be given three options to choose from:

Print Counting List by Part No. generates a complete printed stock list, sequenced by
Part No., with a blank on-shelf Stock column.  This is used for entering the counted figures during a stock take, and the multiple sheets can be divided amongst several people or teams to break down the job.

Print Counting List by Location is the same thing, but sequenced by bay location number.

Enter Stock Take Results

The Resource Records will initially be presented in Part. No. sequence.

Clicking the Set Order to LOCATION button will change the order of the records to
Bin Location sequence, and the legend on the button will change to
Set Order to PART No.  Clicking it now will restore the original sequence.  You can toggle between these states as you wish, so that you can step through the records in the appropriate sequence.

Clicking the Stock List tab will show you the complete file in the selected sequence, and indeed, if you only wish to update a smaller number of records, you can use this to navigate by clicking the items you wish to adjust.  Using the Merlin Navigator buttons will also move you around according to the selected sequence.

To enter the new stock figure, simply click the Edit Record button, key-in the new (counted) number and click the Save Record button.  The text box to the right of the New Current Stock entry show the +/- stock adjustment, and the Stock Take Event will be recorded to the Stock Movements log for this item, with an appropriate inwards or outwards transaction.

Recording the Stock Take
Event when there is no change

If there is no change to make, i.e. the counted figure agrees with the Stock figure shown, you may still wish to record the fact that a Stock Take count for this item has been done.  To do this, click the Edit Record button as above, and then without making any entry in the
New Current Stock field, immediately click the
Save Record button.  You will be asked if you want the Stock Take Event to be recorded.

If you click the Yes button, a record of the Stock Take will be placed in the Stock Movements log for this item; both inward or outward movements will be shown as zero, and the stock balance unchanged.  But the event will be recorded to establish that the item was counted on that date.

Stock Take Report

Clicking the Print button will enable you to print a report of the adjustments made during this Stock Take session.
