Job Detail

The Job Record Card is exactly like Sales Orders & Jobs Card in Admin, and functions in every way the same except in two respects.

Firstly, you cannot add new records on the Job Record Card, which is to say that you cannot create new jobs.  Secondly, you will note that the Sales Orders & Jobs  screen has an additional command button marked Authorise.

You can create and Athorise (activate) new jobs only in Sales Orders & Jobs.

The Details tab will be flagged if Notes exist for the Job currently displayed.  These can be read or edited by clicking the Notes tab.  If you have a number of top level jobs that are linked in a series, you can give them a common Job Series number or identification.

The Top Level Job number is shown if Merlin Auto-Created the job and it is for a subassembly, or can be entered from the keyboard if the job was created manually.

Job Status

You can Close, Stop or Reactivate jobs on in Job Record Card.  To do so, first click the Status tab.  The screen should appear as below:

On the card you will see a list of Job Stages, and to the right of each is a panel which will show the date on which that stage was completed.  Stages which have not yet been completed will display a blank panel.

The final stage, of course, is Job Closed, and below this is a panel which shows the quantity Finished for this job (so far).  A job can be partially closed, which is to say that if a number of assemblies have been completed, but do not represent the entire production run for that job, these can be Signed-off from the balance due and entered into stock.  In this case the
Job Closed panel; will remain empty, but a figure will appear in Finished representing the number of assemblies completed thus far.  The Unfinished field show the reciprocal figure.

You will notice three command buttons labelled Sign-off, Stop Job, and Reactivate.  These buttons will be active only as appropriate to the status of the job showing in the Job Record Card.  Please see Sign-off / Close Job below.

Sign-off / Close Job

The Sign-off button (on the Status tab) is used to Sign-off finished Assemblies, and/or Close a job that is done.  Click it and the following dialogue will appear:

It will prompt you for the Quantity produced, defaulting to the Production Run for the job.  If the run is complete, accept the default and the job will be closed.

If the Production Run quantity has not been met, change the number in the spinner to the number of assemblies produced so far.  Merlin will ask you if the balance is to follow.  If you say No, the job will be closed and you will be asked if you want Merlin to return the unused materials into stock, and the job will then be closed.  The job closure date and the number of assemblies produced will both be shown on the Job Record Card.

If you say Yes (the balance of the Production Run is to follow), Merlin will enter the completed assemblies into stock, adjust the Picked Stock (WiP) figures for the materials used on the BoM, and show on the Job Record Card the number of assemblies competed so far.

Stop Job can be used to cancel any job which has not yet been closed or partially closed as discussed above .  In other words, no assemblies have been produced.

If materials have been issued to the job, Merlin will  auto-returned them to stock.  If materials have been allocated, Merlin will auto-de-allocate them.

Shelf Shortages

This button will become active if Shelf Shortages exist for the selected Job.  Click the button to see the list.
